We collect what we need to price and run your job, and nothing for advertising. Here is what that is, who sees it, and how to ask us to change or delete it.
What we collect
- Contact details: your name, email, phone number, and how you prefer to be reached.
- The property: street address, city, type of home, size, year built, whether it is occupied, and deadlines like a move-in or closing date.
- Your project: the description, your answers to our questions, and the photos, videos, marks and lists you send.
- Site access details: lockbox or gate codes, key arrangements and notes on how to get in.
- Records of what you agreed to: your consent to sign electronically, your electronic signatures, and when, from which device and network address they were given.
- Payment records: invoices, amounts, dates and the payment method. We never see or store a full card or bank account number.
- Messages: emails you send us and notes we keep about your job.
If you work with us as a trade partner
- Business and contact details, trades, the area you work in, rates and references.
- Your IRS Form W-9. The taxpayer ID is stored encrypted, kept out of emails and logs, and opened only when the office needs it for tax filing.
- Insurance certificates and the other documents we ask for.
- Your payment method preference. We never store bank account or routing numbers.
- Your phone's location at the moment you check in and check out of a job, and only then. We do not track location at any other time.
Why we use it
We do not sell your information, and we do not share it with anyone for their own marketing. We do not use photos of your home in our marketing unless you say yes in writing first.
- To prepare your price range and quote, schedule the work and send you updates.
- To share the job details a trade partner needs to do the work on your home.
- To keep the job record: photos, signed documents, change orders, invoices and payments.
- To answer questions, handle warranty claims and meet our tax and legal duties.
How we handle access codes
Access codes and key arrangements are stored on your job record. Our office can see them. A trade partner gets them only after they are booked on your job, in the message for that work.
We keep codes out of our system logs and message history, and they are never sent to the software tools that help us prepare estimates.
We delete the codes and access notes from your job record automatically when the job is closed out (finished and paid in full), cancelled or declined. You can also email us to delete them sooner. We still suggest changing any code you shared once the job is finished.
Who else handles your information
We use a small number of service providers to run the business: website and file hosting, our database, email delivery, and software that helps us read photos and prepare estimates (including AI tools). They handle your information only to provide that service to us. Every estimate is checked by our team before you see a price.
We send price ranges, quotes, updates, signing requests and invoices by email from [email protected]. Some emails carry a link that signs you in to your account. Those links are for you only, work once and expire. You can also choose to add a password. If you do, we keep only a one-way scrambled version of it (a salted hash), never the password itself, and we email you whenever a password is set, changed or removed.
Links to our website in our emails go through a short link on fairsquareconstruction.com that notes the click and then opens the page. We also note when you open a quote, invoice or other page we sent you. We keep the time and the kind of device, not your IP address, and use it only to follow up at the right time. Sign-in links are never tracked.
Cookies and analytics
We use no advertising cookies, no ad trackers and no tracking pixels. When you sign in to your account or the trade partner portal, we set one cookie that keeps you signed in. Your light or dark theme choice, and whether you last signed in with an email link or a password, are saved in your browser.
To learn how people use the site, we use two privacy-friendly tools. Neither one uses cookies. Cloudflare Web Analytics, from our website host, counts page views and visits and tells us the kind of device and browser, the country, and the site that sent you. It does not follow you to other sites.
Our website also counts a few anonymous steps: opening the price form, reaching each step of it, sending it, and opening or sending the callback and Work with us forms. Each count has the page, the step, a random number for that browser tab that is forgotten when you close the tab, the site or campaign link you came from, and whether you are on a phone, tablet or computer. We never store your IP address, name, email or phone number with these counts, and we delete them after about a year.
If your browser sends a Do Not Track or Global Privacy Control signal, we do not count these steps. Cloudflare also keeps standard request logs for security.
How long we keep it
We keep job records, signed documents and payment records for as long as we need them for your warranty, taxes and legal records. If you asked for a price and never went ahead, you can ask us to delete your request and photos at any time.
Your choices
Email [email protected] to get a copy of your information, correct it, or ask us to delete what we do not have to keep. A paper copy of any document you signed with us is free on request.
You can also delete your account yourself, on the website or in our app: Settings for customers, Profile for trade partners. The account is deleted after a short waiting period, and signing in again before then keeps it. We keep job records, signed documents, invoices and payment records (and a trade partner's W-9 and 1099 records) as our contracts and tax rules require, without your contact details.
This site is not meant for children under 13, and we do not knowingly collect their information.
